Frequently Asked Questions

  • Hours of Operation

Flexible, Virtual Hours Designed for Discreet Access and Demanding Schedules

We understand that professionals in high-impact roles face unique challenges when seeking behavioral health support. That’s why we offer flexible, virtual hours of operation designed specifically to meet your needs:

    Discreet and Confidential Access

    ·         Virtual sessions allow you to engage in care anywhere in Arizonafrom the privacy of your home, office, or secure location, reducing the visibility of seeking support.

    ·         No waiting rooms, commutes, or risk of being seen—ideal for those who must maintain a low public profile

    Extended and After-Hours Availability

    ·         We offer evening and weekend appointments to accommodate unconventional work hours or rotating shifts.

Customized Scheduling for Privacy & Consistency

    ·         Appointments can be scheduled to align with off-hours or low-visibility windows, protecting both your time and confidentiality.

    ·         We work with your schedule, not against it—making it easier to receive consistent care while maintaining your professional responsibilities and public image.

  • Why do you not accept insurance?

    1. Increased Privacy and Confidentiality

    ·         No insurance reporting: Your mental health records and diagnoses aren’t shared with insurance companies, which can help maintain greater personal privacy.

    2. Greater Choice and Flexibility

    ·         You can choose the provider you feel most comfortable with, not just those "in-network."

    ·         There’s often more freedom in how services are structured (e.g., length or frequency of sessions, holistic or specialized approaches).

    3. Avoiding Diagnoses for Reimbursement

    ·         Insurance typically requires a formal mental health diagnosis for reimbursement.

    ·         Paying privately allows clients to receive support without being labeled with a clinical diagnosis unless truly necessary.

    4. Improved Access and Timeliness

    ·         No wait lists due to network restrictions or pre-authorization delays.

    5. Full Control Over Your Care

    ·         Treatment decisions are made solely between you and your provider—not influenced by insurance company limitations.

    ·         This can allow for more personalized, integrative, or longer-term care that better meets your needs.

    6. Support for Services Not Covered by Insurance

    ·         Many helpful services (e.g., coaching, nutritional psychiatry, trauma-informed care, or alternative therapies) may not reimbursable by insurance.

    7. The Future of Insurance Coverage for Telehealth is Uncertain

    ·         Because private insurance and Medicare telehealth benefits may be changing in 2026, we want to ensure your care continues without being affected by any future changes to coverage.

  • Payment and Cancellation Policy

Clinica SanaMente operates on a fee-for-service model. Payment is based on the type and duration of the appointment and is due at the time of service. A monthly subscription is offered and billed on the 1st of every month.

    ·         We do not directly bill insurance companies and do not participate in insurance-based utilization reviews or reimbursement determinations. Your clinician will not communicate with insurance providers or share your diagnostic or treatment records with any third-party payers.

    ·         Many clients with private insurance choose to seek partial reimbursement for services. Upon request, we can provide a billing invoice (“superbill”) that you may submit to your insurance company. Reimbursement is typically processed at your policy’s out-of-network rate and will depend on the specifics of your insurance plan. Please note that we are unable to provide this documentation for Medicare or Medicaid clients. Insurance reimbursement generally requires disclosure of diagnostic and procedure codes.

    ·         Payment is accepted via credit/debit card and will be charged at the time of service. A monthly subscription is offered and billed on the 1st of every month.

    ·         Appointments may be rescheduled within the same week, even on short notice, without incurring a fee. However, missed appointments (“no-shows”) or cancellations made within 24 hours of the scheduled visit will be charged the full appointment fee (Does NOT apply to those enrolled in our monthly membership). Exceptions may be granted in cases of emergencies or extenuating circumstances, and our staff will make every effort to accommodate your needs.

  • No Surprises Act

    ·         Under the No Surprises Act, healthcare providers are required to provide uninsured or self-pay patients with a Good Faith Estimate (GFE) of the expected charges for services. This estimate outlines anticipated costs for a typical course of psychiatric care. Actual charges may vary depending on your clinical needs and treatment plan.

    ·         A Good Faith Estimate (GFE) is provided after initial psychiatric evaluation.
